A CRM without a clean data foundation isn't a CRM — it's an expensive spreadsheet with better UI. Before we talk HubSpot, Pipedrive or Zoho, an honest look at the four gaps in almost every SME CRM setup.
Data lives in five tools — and none centrally.
Marketing knows the lead through Brevo. Sales nurtures it in Pipedrive. Accounting books it in Lexware. Support only sees it in Zendesk. When the customer calls, nobody can say what they've done with you so far. Four tools, four truths, no overview.
Half the data vanished during the CRM swap.
You're switching from HubSpot Free to Pipedrive — or from an old Salesforce instance to Zoho. Another agency exports CSV, imports CSV, status: "migration complete." Three weeks later you notice: custom fields missing, notes gone, tagging lost, deal history unattached. Migration is a discipline, not Excel acrobatics.
Generic setup for a non-generic industry.
A practice needs different fields than a SaaS company. A trades business tracks differently than a coach. The three CRM systems I use most in practice. All three handle the essentials; the choice comes down to marketing integration, sales discipline and budget.
Strong when marketing and sales should live in one tool. Free tier for the CRM base, Marketing Hub Pro from ~€800/month. Often the choice in DACH Mittelstand when growth is planned and the marketing team actively works inbound.
Pipeline-focused, quick to learn, cheaper than HubSpot. Marketing automation exists but is secondary. In practice the most common pick for classic B2B SMEs with a clear sales process.
The Zoho suite (CRM + Books + Mail + Campaigns) is unmatched on price and surprisingly deeply integrated. UX isn't as polished as HubSpot, but for budget-conscious SMEs or multilingual teams an honest pick. EU hosting available.
When your business model or industry has specific requirements, a specialist system often beats a generic CRM. Here are the options from the Webweezl stack.
German funnel-builder platform with built-in CRM. Strong for online coaches, digital service providers, course sellers. Landing page, funnel, payment flow and CRM in one. Faster time-to-launch than HubSpot, narrower on classic sales-pipeline management.
Visual CRM with workflow automation, good when your team already works in monday.com. Different logic from HubSpot/Pipedrive — board-based instead of pipeline-centric. Makes sense for creative agencies, project businesses, teams that already use monday as their main tool.
Industry standard for complex sales orgs with their own admin. Powerful, customisable, expensive. Rare in Webweezl practice — most SME setups are over-dimensioned here. If you already run Salesforce, we support migration and integration, but only recommend it for genuinely enterprise-suitable setups.
A CRM rarely stands alone. It needs to talk to the website, calendar, payment system, support tool. Here are the tools Webweezl builds those bridges with.

Classic no-code workflow tools for standard connections between SaaS apps. Quick start, higher ongoing cost from mid-volume up. Useful for simple lead-routing setups.
Migration & integration. Done clean.
CRM migration is the discipline most setups fail in — not at contract time, but at the first quarterly report when the data suddenly doesn't add up. Custom fields lost, tagging gone, deal history unattached, notes in the wrong column. Most migrations are "export CSV, import CSV" — which is exactly what produces data carcasses.
Webweezl does this differently. Migration starts with a data-model audit: what do you have, what do you need, what can go? Then structured mapping, deduplication, custom-field translation, test migration in a sandbox, cutover with full backup. After cutover: validation of every record, not "samples".

CRM setup is a system decision. Before anything is configured, you need clarity on data model, pipelines and integrations — otherwise you're feeding data into the wrong tool two months from now.

01 HubSpot, Pipedrive or Zoho — which CRM fits my SME? +
Pipedrive, when your sales team is small, you have a clear sales pipeline and marketing automation is secondary. Quick to learn, affordable.
HubSpot, when marketing and sales work hand in hand and you actively run inbound marketing. Free tier covers entry; from Marketing Pro onwards the monthly bill goes four-figure.
Zoho, when budget is tight, you have multilingual teams or the full Zoho suite (Books, Mail, Campaigns) makes sense.

02 How does the data migration from the old system work? +
Migration is part of the Webweezl fixed price and follows a clear process: data-model audit, mapping, deduplication, sandbox test migration, your validation, final cutover with backup. No data is lost — before cutover there's a full export as a safety net.
Important: custom fields don't get dumped into a "notes column" — they get translated into proper structures. Tags, pipelines, deal history — all carried over. More under § 03 Migration & Integration.

03 Do I get custom fields for my industry? +
Yes — custom fields are mandatory in every Webweezl CRM setup. A practice needs different fields (insurance status, first contact, treatment type) than a B2B SaaS (MRR, contract tier, use case). In the architecture step we define together which custom fields your CRM needs.
Important: I don't build "as many fields as possible", I build "the fields you'll actually use". Webweezl rule: any field that stays empty for 6 months gets removed.

04 How do you integrate the CRM with my existing stack? +
Standard integrations (website forms, calendar, Stripe, MA tool, Slack) are included in the fixed price — up to 5 systems. Webweezl mostly builds the connections via Webweezl Connect (own platform), n8n or Make, depending on data volume and GDPR profile.
More complex integrations (ERP, accounting, custom database) are quoted on top, always transparently. What doesn't happen: lock-in via proprietary Webweezl tools you can't access yourself.

05 Will my team get trained on the new system? +
Yes — a 90-minute live training session for your team is in the fixed price, plus a recorded video and a written guide for the most common maintenance tasks. If you need multiple sessions (e.g. sales team and marketing team separately), we quote it on top, transparently.
Webweezl standard: after hand-off your team knows how the CRM runs. You don't need another Webweezl appointment to add a new pipeline.

06 What if after 3 months we realise the CRM doesn't fit? +
Rare — because in the audit and scoping I honestly figure out which CRM actually fits. But if it happens: we migrate again. Since you have all the data and credentials and the setup is documented, a second migration is significantly easier than the first.
What doesn't happen at Webweezl: I sell you HubSpot because I happen to like working with HubSpot. The recommendation comes from your brief, not from my favourite stack.

07 How is marketing automation different from a CRM? +
Short version: the CRM is the memory of your sales team (contacts, deals, history). The marketing-automation tool is the voice of your marketing (sequences, newsletters, lead nurturing). HubSpot does both — most other tools nail one or the other really well.

09 How long does a CRM setup with migration take? +
For most SME projects: 3–6 weeks from architecture sign-off. A simple CRM swap with a small dataset: ~3 weeks. A more complex migration with custom fields and 5+ integrations: 4–6 weeks.
Lead time for the free audit: 1 week. Architecture: 1 week. So within 2 weeks you know whether and how we start.

10 What happens after hand-off — am I on my own? +
30 days of support are included in the Webweezl fixed price — bug fixes, workflow adjustments, questions. After that you have three options: (1) carry on yourself (every workflow documented, every credential yours), (2) monthly maintenance retainer, (3) ad-hoc requests.
What you don't get: lock-in. Webweezl standard: everything documented, every credential yours, you can take over whenever.
